Terms of Service

DEPOSIT: All events require a deposit to reserve a requested date. All deposit payments are final and non-refundable unless (a) Weather/Natural Disaster, (b) a Medical emergency, or (c) a cancellation request is submitted more than 30 days out from an event.
FINAL BALANCE: The remainder owed for an event is due the day of unless prior billing arrangements have been made and agreed upon. If the final balance has not been paid, a 25% late fee will be charged for any outstanding payments.
CANCELLATION: This Agreement cannot be canceled or modified unless agreed upon by Eclipse Sound, LLC and the Client. The deposit is non-refundable for cancellations initiated by the Client unless previously stated (refer to the Deposit Policy). If Eclipse Sound, LLC cannot provide service, arrangements will be made with an appropriate replacement. Eclipse Sound, LLC will fully refund the deposit if a replacement cannot be arranged. Suppose the Client initiates cancellation less than 30 days before the event. In that case, the Client is responsible for the total fee or may forfeit only the deposit by signing a new entertainment agreement provided in the next 12 months. Rescheduling of events shall be accommodated whenever possible and are subject to availability.
OVERTIME: If the event exceeds the scheduled time or the client requests extended playing time during the event, Eclipse Sound, LLC reserves the right to collect an additional payment. Payment is due at the time of the request and may be paid by cash or credit card. Overtime rates are billed in 1-hour increments based on the agreed event rate.
SAFETY: Eclipse Sound, LLC reserves the right to stop the event at any time if the safety of our staff, equipment, or guests becomes a concern. Eclipse Sound, LLC staff is only responsible for setting up, working with, and breaking down our equipment and is not responsible for assisting with anything other than the service provided.
SONG REQUESTS: Eclipse Sound, LLC reserves the right to approve and deny song requests based on copyright/licensing availability and appropriateness with the event. All music will only be played off Eclipse Sound, LLC equipment and licensed music services.
EQUIPMENT DAMAGE: If there are any damages to Eclipse Sound, LLC property during an event caused by any individual, we reserve the right to charge the Client for any repair/replacement costs associated with the damages.
MISCELLANEOUS:
The event will only give approved guests, staff, and coordinators microphones. Authorization must be arranged with Eclipse Sound, LLC staff before the event.
Eclipse Sound, LLC requires an adequate power supply for our equipment to provide services.
Setup/breakdown time is based on each event and its venue. The Client is responsible for ensuring adequate time for Eclipse Sound, LLC staff to set up and break down the equipment used at the event.
Upon paying the initial deposit, the Client agrees to Eclipse Sound, LLC’s Terms of Service.
Proof of Insurance may be made available upon request.
